Outsourcing for small accounting practices with 5 to 20 staff

At five to twenty people, one resignation or one big new client changes the whole practice. EarthOne adds a named, qualified CA to your team from £750 a month, working in your software and your review process, on one month’s notice.

In short: a practice of 5 to 20 people usually gets most value from a dedicated EarthOne professional: the same person every week, £750 to £1,450 a month, working on preparation so your seniors can review, advise and bring in new work.

Why practices this size feel capacity first

In a practice of five to twenty, there is rarely slack. When a senior leaves, their files spread across people who were already full. When a good new client arrives, someone has to say no. And partners end up doing preparation work at partner rates because nobody else is free.

A replacement hire takes months to recruit and longer to become fully productive. An offshore professional can start inside your systems within two weeks, on your templates and chart of accounts. We set out the timeline in the two-week onboarding process.

A dedicated professional works on your practice only, the same person every week, so they learn your clients and your review points. The dedicated model ends on one month’s notice, with no onboarding fee.

Compared with a hire, the employer costs alone are significant: 15% employer National Insurance above £5,000 a year and at least 3% pension, before recruitment, equipment and training. Use the cost calculator with the salary you would actually offer.

How it fits your review process

Start small. Most practices start with bookkeeping for four to six weeks, then add VAT, year-end preparation and management accounts as the review record builds.

What changes after a year

The practices that get the most out of this use the time it frees. Seniors spend more of the week reviewing and advising, partners stop preparing files, and new clients become a yes instead of a waiting list. We describe the pattern in what changes in year one of outsourcing, and the first four weeks in the first-month checklist.

Questions we get asked.

What is the best outsourcing model for a practice with 5 to 20 staff?
Usually a dedicated professional: a named bookkeeper (£750 to £1,200 a month) or senior accountant (£850 to £1,450 a month) working only on your practice. Ad hoc hours suit peaks or a trial.
How quickly can an offshore professional start?
Access is usually set up in week one and real client files are worked on in week two, inside your own software.
Does our review process change?
No. A second CA reviews each file before it reaches you, and your own review and sign-off stay as they are. Logging review points by type in the first month shows where to add work next.
Can we end the arrangement?
Yes. The dedicated model ends on one calendar month’s notice from either side, with no penalty and no minimum term beyond the first month.
Who is responsible for AML and client due diligence?
Your practice. AML responsibility for subcontracted work stays with the firm, so your MLRO, screening and training should cover the arrangement.
